Nextcloud vs Google Drive is a choice between a file service you rent per person and one you run on a server you control. Google Drive costs a fixed amount for each user. Nextcloud costs a server, and a server gets cheaper per person as more people share it. This guide puts numbers on that point, and on the work you take on with self-hosting.
The Nextcloud vs Google Drive question is easier to settle with numbers, so this guide uses Nextcloud’s administration manual, Google’s published prices and our own arithmetic. The result is a user count, not an opinion, so you can test it against your own team.

Nextcloud vs Google Drive: What Is the Difference?
Google Drive is a hosted service that charges per user. Nextcloud is software you install on your own server, so you pay for the server instead of for each seat. As a result, that one difference decides who runs it, where the files live and who pays when the team grows.
The two options side by side
| Google Drive | Nextcloud | |
|---|---|---|
| Who runs it | You, or your administrator | |
| How you pay | Per user, per month | A flat server price |
| Where files live | Google’s data centres | A server in a place you choose |
| Storage | Pooled per user: 30 GB, 2 TB or 5 TB | The disks you add |
| Editing documents in the browser | Built in | Needs a second service |
| Updates and security | You |
Table comparing Google Drive and Nextcloud: Google runs the first and you run the second, Google charges per user while Nextcloud costs a flat server price, files live in Google’s data centres or on a server you choose, storage is pooled per user or set by your disks, browser editing is built in or needs a second service, and updates are Google’s or yours.
Nextcloud’s server is free software under the AGPL-3.0 licence, and the European Commission’s open source catalogue lists it. So the cost is the server and your time, not a licence per person.
Nextcloud vs Google Drive Pricing: How Much Does Google Workspace Cost?
For businesses, Google Drive comes inside Google Workspace, which charges per user: US$7, US$14 and US$22 a month on the annual plan, for Business Starter, Standard and Plus. Google’s own billing help page lists €6.80, €13.60 and €21.10 for the same three plans. However, business editions stop at 300 users.
Meanwhile, storage is pooled across the organisation: 30 GB per user on Starter, 2 TB on Standard and 5 TB on Plus. The Flexible plan, which has no yearly commitment, costs about 20% more per user: €8.10, €16.20 and €25.30. These are list prices, and Google may show new customers an introductory discount, so check your own quote.
Google Workspace business plans, per user per month
| Plan | US list, annual | Euro page | Pooled storage per user |
|---|---|---|---|
| Business Starter | $7 | €6.80 | 30 GB |
| Business Standard | $14 | €13.60 | 2 TB |
| Business Plus | $22 | €21.10 | 5 TB |
Table of Google Workspace business plans: Business Starter at 7 dollars or 6.80 euros with 30 GB pooled per user, Standard at 14 dollars or 13.60 euros with 2 TB, and Plus at 22 dollars or 21.10 euros with 5 TB.
Nextcloud vs Google Drive Cost: Where Does the Server Win?
A flat-price server beats a per-user plan once enough people share it. A Swify Dedicated 1 at €120 a month costs less than 18 Business Starter seats, 9 Standard seats or 6 Plus seats. So past those counts, every extra person is free on the server and billed on Google.
Users at which Google Workspace costs more than a Swify plan
| Google plan | Dedicated 1, €120 | Dedicated 2, €150 | Dedicated 5, €175 |
|---|---|---|---|
| Business Starter, €6.80 | 18 users | 23 users | 26 users |
| Business Standard, €13.60 | 9 users | 12 users | 13 users |
| Business Plus, €21.10 | 6 users | 8 users | 9 users |
Table of the number of users at which Google Workspace costs more than a Swify plan: Business Starter 18, 23 and 26 users against Dedicated 1, 2 and 5; Standard 9, 12 and 13; Plus 6, 8 and 9.
Nextcloud vs Google Drive: How Fast Does the Gap Open?
The gap opens fast: with Business Standard, 20 users cost €272 a month against €120 for the server, and 100 users cost €1,360.

What Does a Year Cost?
Over a year, ten Standard seats cost €1,632 against €1,440 for a Dedicated 1, and the gap reaches €14,880 at 100 users.
A year of Google Workspace Standard against a year of a Swify server
| Team size | Workspace Standard, 12 months | Dedicated 1, 12 months |
|---|---|---|
| 10 users | €1,632 | €1,440 |
| 25 users | €4,080 | €1,440 |
| 50 users | €8,160 | €1,440 |
| 100 users | €16,320 | €1,440 |
Table of the yearly cost of Google Workspace Standard at 163.20 euros per user against one year of a Swify Dedicated 1 at 1,440 euros: 1,632 euros for 10 users, 4,080 for 25, 8,160 for 50 and 16,320 for 100.
However, the comparison is fair only for files. Workspace also includes email and meetings, and Nextcloud replaces Drive, not Gmail. It also ignores the time you spend as administrator.
What About Storage?
Storage tilts the maths toward the server for big libraries, because a server’s disks are priced per drive and not per person. A Standard seat includes 2 TB pooled, but nine seats pool 18 TB, and the plans above hold 1 to 2 TB of SSD.
For a larger archive, add drives in the custom builder. A hard disk is the cheapest class per terabyte, and a full 1 Gbps port carries 450 GB an hour with no egress fees.

Nextcloud 35 needs a 64-bit Linux server, PHP 8.3 to 8.5, a database and a web server. Its administration manual asks for at least 128 MB of RAM per process and recommends 512 MB. It also says memory needs vary with users, apps and files.
In addition, the manual recommends PostgreSQL or MariaDB for the database, and it limits SQLite to testing. For the web server it recommends Apache with mod_php or php-fpm, and it also lists Nginx with php-fpm.
What the Nextcloud 35 manual lists
| Part | Supported options |
|---|---|
| Operating system | Ubuntu 26.04 and 24.04, Debian 13, RHEL 10 and 9, SUSE, CentOS Stream, Alpine |
| PHP | 8.3, 8.4 and 8.5, with 8.5 recommended |
| Database | PostgreSQL 14 to 18, MariaDB, MySQL |
| Memory | 128 MB minimum and 512 MB recommended, per process |
Table of what the Nextcloud 35 manual lists: Ubuntu 26.04 and 24.04, Debian 13, RHEL 10 and 9, SUSE, CentOS Stream and Alpine; PHP 8.3 to 8.5; PostgreSQL 14 to 18, MariaDB and MySQL; and 128 MB of memory per process as the minimum with 512 MB recommended.
Also, Swify’s builder offers Debian and Ubuntu, and both are on Nextcloud’s list. AlmaLinux is not named, although it follows Red Hat. Every PHP branch Nextcloud 35 supports also has a fix for the PHP2Shell flaws: 8.3.36, 8.4.27 and 8.5.12.

Nextcloud vs Google Drive: Who Does the Work?
With Nextcloud you take on updates, backups, security and the document editor, which Google handles for you. That work is the real price of the flat fee, so count it before you settle Nextcloud vs Google Drive.
- Updates: PHP and Nextcloud both need patching, as the PHP2Shell fixes showed.
- Backups: mirrored disks protect against a drive failing, but they are not a backup.
- Security: you set up TLS, keep the system patched and control who has access.
- Document editing: this needs a second service, as explained below.
In practice, browser editing is the biggest gap. The Nextcloud Office app is built on Collabora Online, which requires a dedicated service running next to the Nextcloud web server stack. ONLYOFFICE, which also needed its own Document Server, suspended its Nextcloud partnership in March 2026.

Nextcloud vs Google Drive: Which Fits Your Team?
Choose Google Drive for a small team that wants email, meetings and documents with no administration. Choose Nextcloud when many people share files or the data must stay where you decide. The table maps each situation to a pick.
Which option fits which team
| Your situation | Pick | Why |
|---|---|---|
| Up to 8 people who need email and meetings | Google Workspace | Below the break-even, with nothing to run |
| 20 or more people sharing files | Nextcloud | The flat price beats Standard from 9 users and Starter from 18 |
| Terabytes per person | Nextcloud with big drives | Disks are priced per drive, not per seat |
| Data must stay in a chosen location | Nextcloud on your own server | You pick the data centre |
| No one to run a server | Google Workspace | Updates, backups and editing are Google’s job |
Table matching five team situations to Google Workspace or Nextcloud: up to 8 people needing email and meetings, 20 or more people sharing files, terabytes per person, data that must stay in a chosen location, and no one to run a server.
Location matters for GDPR work. A Swify server sits in the Netherlands, with GDPR by default, so the files stay in a data centre you can name.

Can You Use Nextcloud and Google Drive Together?
Yes, and it can be the cheapest route. Keep the smallest Workspace plan for email and meetings, and put bulky shared files on Nextcloud. So Nextcloud vs Google Drive does not have to be all or nothing, and you pay per seat only for what Google does best.
This split also lowers risk. If the server is down for an update, email and meetings keep working, and if a Workspace price rises, your archive does not move.
Nextcloud vs Google Drive: The Short Version
Nextcloud vs Google Drive comes down to people and files: Google Drive is cheaper for a few people, and Nextcloud is cheaper for many. At €13.60 per Standard seat, the Swify Dedicated 1 wins from nine users.
- Count users and terabytes first, then price both sides.
- Add the work: updates, backups, security and a document editor.
- Pick the data centre if the location of the files matters.
Run Your Own Nextcloud on 1 Gbps Unmetered
Swify dedicated servers start at €120 a month, with full root access, 1 Gbps unmetered bandwidth and your choice of Debian or Ubuntu. Hosted in the Netherlands on AMS-IX, with GDPR by default, monthly billing and no long contracts.
